Parts Availability and Repair Delays
A technically straightforward vehicle repair can become prolonged when the required parts are unavailable.
Supply delays may affect repair commencement, dismantled vehicles, replacement transport, storage and the final cost of the matter.
This publication explains how parts availability influences repair planning, why delays occur and what information should be documented while a repair remains incomplete.
Why Parts Delays Occur
Vehicle parts may be delayed because of:
• International manufacturing and freight constraints
• Limited Australian stock
• Backorders or discontinued components
• Superseded part numbers requiring further confirmation
• Model, build-date or specification differences
• VIN-specific mechanical or electronic components
• Parts requiring programming, coding or security matching
• Supplier errors or components arriving damaged or incomplete
• Increased demand following major weather or collision events
The stated availability should be confirmed against the correct vehicle specification. A part listed generally for a model may not be suitable for the particular vehicle being repaired.
Availability Should Be Established Early
Parts availability should be considered when the repair method is being determined—not only after the vehicle has been dismantled and work has commenced.
A quotation or catalogue listing does not necessarily mean that the component is physically available. Stock location, confirmed supply, expected delivery and any unresolved backorder should be checked.
Early identification allows the repairer, assessor and vehicle owner to understand whether the proposed method can proceed within a reasonable timeframe.
Where dismantling is required to confirm the complete parts requirement, that process should be planned so the vehicle is not unnecessarily immobilised before authority, supply and repair capacity are understood.
Alternative Parts and Repair Options
Where the preferred replacement part is unavailable, other options may be considered. These can include an alternative supplier, recycled component, reconditioned part, approved non-original part or repair of the existing component.
An available alternative is not automatically an appropriate substitute. Its specification, condition, compatibility, safety function, repair history, warranty and installation requirements should be established.
Electronic components may also require coding, software compatibility or security matching before they can operate correctly in another vehicle.
Any alternative should be consistent with the applicable policy, manufacturer requirements and the standard reasonably required for the repair. The reason for changing the original repair method or parts selection should be documented.
How Parts Delays Affect the Matter
A delayed component can affect more than the workshop completion date.
The consequences may include:
• Extended vehicle immobilisation
• Additional replacement-vehicle or transport requirements
• Storage charges or reduced workshop capacity
• Delayed dismantling or reassembly
• Battery discharge and deterioration while the vehicle remains stationary
• Exposure of dismantled components or unfinished repair areas
• Changes in parts pricing, labour scheduling or repairer availability
• Increased inconvenience or commercial interruption for the vehicle owner
These effects should be identified early and reviewed throughout the delay. Avoidable associated costs can increase when no party maintains clear responsibility for monitoring supply and progressing the repair.
Managing the Delay
Responsibility for progressing a delayed repair may be shared across several parties.
The repairer should order authorised components promptly, monitor supply and communicate material changes. The supplier should provide current availability information and revise expected delivery dates when circumstances change.
The insurer or other authorising party should respond to necessary scope changes and technically suitable alternatives without avoidable delay. The vehicle owner should remain informed and respond where a decision or authority is required from them.
A delay cannot always be prevented, but it can be actively managed. Regular, recorded communication helps distinguish unavoidable supply constraints from delay caused by inactivity or unresolved decision-making.
What Should Be Recorded?
A clear parts-delay record may include:
• The required part description and part number
• How compatibility with the vehicle was confirmed
• The date authority was provided
• The date the component was ordered
• The supplier and stock location
• The original expected delivery date
• Subsequent availability updates
• Backorder, supersession or discontinuation advice
• Alternative parts or repair methods considered
• The vehicle’s dismantled and operational status
• Associated storage, transport or replacement-vehicle costs
• Communications between the repairer, supplier, insurer and vehicle owner
This chronology helps establish what caused the delay, what action was taken and whether reasonable alternatives were considered.
Delay and Repairability Are Different Questions
A vehicle may remain technically repairable even when the required component is unavailable for an extended period.
Parts delay can affect the commercial practicality of the repair because storage, replacement transport, administration and other associated costs may continue to increase. It may also influence decisions about repair timing, alternative methods or settlement.
However, delay alone does not establish that the vehicle is physically beyond repair. Equally, technical repairability does not mean the vehicle can be safely returned to service while a required component remains unavailable.
The physical repair requirement and the commercial consequences of delay should therefore be identified separately.
When an Independent Assessment May Assist
An independent assessment may assist where a prolonged parts delay has affected the proposed repair method, repair cost or viability of continuing with the repair.
The review may consider the confirmed damage, required components, manufacturer information, parts enquiries, alternative repair options, vehicle status and the chronology of authority and supply.
Its purpose is to distinguish the technical repair requirement from the commercial effects of delay and explain what the available evidence supports.
An independent assessment cannot make an unavailable component appear, but it can identify whether suitable alternatives have been properly considered and whether the matter is being progressed on a clear technical basis.
